Exam invigilation rosters, balanced in seconds.

Invigismart Pro turns your teacher list, their timetables and the exam schedule into a fair, conflict-free duty roster. It enforces the invigilator-to-student ratio, keeps teachers out of their own subject papers, never double-books anyone, and warns you before exam day that a session is short-staffed.

No teacher invigilates a subject they teach, and no duty clashes with their own class.

Example output. You bring the timetable — the server builds the roster.

Everything included

One tool from timetable to teachers' duty sheets

No spreadsheets, no last-minute reshuffles, no arguing over who is owed a free period. Every rule the roster follows is a rule you can see.

Fair workload balancing

Duties go to the least-loaded eligible teacher first, so the total stays level across the whole staff list instead of landing on the same few people again and again.

Ratio rules applied automatically

Required invigilators per paper are derived from the student count using the 1 per 30 candidates standard (61 students means 3), so nobody has to work it out by hand.

No own-subject invigilation

A Physics teacher is never rostered onto a Physics paper. Subject tags come from your teacher register and the rule is enforced on every roster that is generated.

No clashes, no double-booking

Teachers who are teaching at that day and period are skipped, and nobody can hold two duties in the same session — not even across papers running in parallel.

Short-staffing warnings

If a session cannot be filled from the staff available, you get a named warning for that day and period — before the exam, not on the morning.

Printable duty sheets

A per-teacher view listing exactly when and where each person is on duty, laid out for printing or saving as a PDF and pinning to the staff-room board.

CSV exports everywhere

Teachers, teacher schedules, the exam timetable with invigilator counts, and the final roster all export as CSV for your records, audits or the head teacher's report.

Backup, restore, no lock-in

Download the roster workspace as a JSON file and load it back on any machine. Uploaded PDFs stay in the document library and download individually. Sample data is one click away if you want to try the workflow before entering real staff names.

Secure school accounts

Passwords are stored as salted PBKDF2 hashes and sessions are signed, expiring tokens. Your teacher and pupil data stays in your browser, not in our database.

How it works

Set up once, then rerun for every exam season

Four steps, no training required. Your teacher list and timetables are reusable, so the next session takes a couple of minutes.

  1. 1

    Create your school account

Register with a school name, an administrator email and a password. Your free trial starts straight away — no card, no sales call.

  2. 2

    Add teachers and subjects

Enter each teacher and the subjects they teach, then record the periods they already have a class so the solver knows who is unavailable.

  3. 3

    Enter the exam timetable

For each paper: date, day, morning or afternoon session, subject and the number of candidates sitting it. The tool works out how many invigilators that needs.

  4. 4

    Generate, print, export

Press generate and the roster appears with any short-staffed sessions flagged. Print the teacher duty sheets or export the CSV for your records.

Constraints are checked on our server, not in your browser

The roster engine runs server-side, so the balancing rules cannot be switched off by editing the page. Your account and licence are verified on every generation request.

Walkthrough

From a blank screen to printed duty sheets

Every screen in the dashboard, in the order you will actually use them. No training and no IT department required — most schools are printing their first roster the same afternoon.

  1. 1

    Create your school account

Press Start free trial in the header (or Register free account under Pricing) and enter your school name, an administrator email and a password. Tick the consent box, submit, and you land straight in the dashboard — no card, no sales call, trial running immediately.

Where: the header on this page, or the Pricing section → opens /app.

  2. 2

Add your teachers and the subjects they teach

Open the Teachers & Subjects tab and add each teacher's full name together with the subjects they teach, separated by commas — for example Mathematics Gr12, Physical Science Gr11. That subject list is what stops the solver rostering a teacher onto their own paper, so use exactly the wording you will use on the exam timetable.

Fast track: Upload CSV imports a whole staff list in one go, and Export CSV keeps a copy you can reuse next season.

  3. 3

Block out the periods teachers are already teaching

Switch to Teacher Schedules and register every slot where a teacher is in front of a class: teacher, day of the week, period (P1, P2 …) and the class and subject they are teaching. These become hard unavailability rules, so nobody is pulled out of a lesson to invigilate another one.

Where: dashboard → Teacher Schedules → Add Busy Slot. CSV import works here too: upload the four-column schedule export, or a staff timetable grid straight from your school system.

  4. 4

Enter the paper list and exam timetable

Upload the paper list your exams office works from (subject, grade, number of students) on the Exam Timetable tab, then give each paper a date, day and period. The moment a paper is on the timetable the table shows Invigilators Needed (1:30), so you can see where you are short-staffed before you generate anything.

Where: dashboard → Exam Timetable → Upload paper list or Add paper, then Schedule it into a slot.

  5. 5

Choose the exam and generate the balanced roster

Open Roster Generator, pick the exam type — Term 2 (all teachers available), Gr 12 prelim, Gr 12 final, or Term 4 for Grades 8–11 — then press Generate Balanced Roster. Grade 12 prelim and final rosters always respect the teaching timetable, so a teacher in front of a class is never rostered. Every sitting keeps the 1:30 ratio, never the paper's own subject teacher, and a fair spread of total duties. Sessions it cannot cover are flagged rather than quietly under-filled.

Tip: not ready to type real names yet? Load Sample Data on the dashboard fills in a demo school so you can watch the solver work first.

  6. 6

Print the master roster, duty sheets and records

Print Master Roster produces the whole-school sheet: the exam type, its grade scope, whether the teaching timetable was respected, one line per paper with its invigilation team, and a prepared/checked sign-off. Choose a name in Teacher View to see that teacher's personal schedule, then press Print Duty Sheet for a clean sheet for the staffroom wall. Export Roster CSV hands the data to your SMT or files it with your exam records.

Keep the source documents: open Documents and upload the exam timetable or any other school PDF. It is stored against your account, so the timetable that produced the roster stays beside it and follows you to another device.

Where: dashboard → Teacher View (one teacher at a time), Roster Generator (the whole school) and Documents (the PDF library).

  7. 7

Re-run next season, then manage the licence

Your teachers, subjects and timetables stay in your browser, so next exam season you only add the new papers and press generate again — the setup work is a one-off, and the annual licence is what keeps every season of the year running from that same setup. The Subscription & Billing tab shows the days remaining on your annual licence, the renewal date and your payment history, and renewing keeps the same school account and the same data.

Where: dashboard → Subscription & Billing. Something wrong with a payment? Contact support.

Try it with sample data first

Load Sample Data on the dashboard fills in a demo school, so you can press generate before you type a single real name.

Keep subject wording identical

"Mathematics Gr12" on a teacher and on a paper are the match that blocks a conflict — copy and paste rather than retyping.

Your roster stays yours

Questions

Frequently asked questions

What does Invigismart Pro actually do?

It takes three things you already have — your list of teachers and the subjects they teach, their normal lesson timetable, and the exam timetable — and produces a fair duty roster for every exam session. It applies the invigilator ratio, keeps staff out of their own subject papers, avoids anyone who is teaching at that time, and balances the number of duties each teacher receives.

Do we need to install or maintain anything?

No. Invigismart Pro runs in the browser, so it works on any laptop or desktop the exams office already uses. You log in with a school account; there is no software to install, no server for you to run and no updates to chase.

Where do our teachers' and pupils' details live?

Your working data — teachers, timetables, exams and rosters — stays in your own browser on the machine you use. Only the account record needed for login and licensing is held on the server, and passwords are stored irreversibly as salted PBKDF2 hashes.

What if two papers run in the same session?

Each paper is rostered on its own, and the tool will never assign the same person twice in the same day and period. If two parallel papers need more staff than you have available, you get a short-staffing warning naming the session so you can arrange cover.

What happens when the trial or licence ends?

The 14-day trial is an evaluation window — time to build and run a full roster for one sitting, with the duty sheet and CSV it produces stamped as an evaluation copy. The annual licence is what keeps it working across your whole exam calendar: every season, every rerun and every cover change for a year, without re-entering a single teacher or timetable — and it is what produces clean, unmarked duty sheets and exports. When a licence ends nothing is deleted: generating new rosters pauses until you renew, and you can still log in, review your timetable and export your data (marked as an evaluation copy until you renew). Renewing restores access immediately with all your work exactly where you left it.

How do we pay, and how does renewing work?

Payment is a single annual charge by card or Instant EFT through PayFast — your payment details go straight to PayFast and never touch our systems. The licence renews automatically each year and your dashboard always shows the days remaining. You can stop the automatic renewal from the billing tab at any time, and the year you have already paid for stays fully active to the end.

Can we get our data out if we stop?

Yes, at any time and with no notice period. Teachers, schedules, the exam timetable and the finished roster all export to CSV, and a JSON backup of the roster workspace can be downloaded and reloaded later. Uploaded PDFs remain downloadable from the document library. There is no lock-in and no export fee.

Is our staff data shared with anyone else?

No. Rostering requests are answered for your signed-in account only and nothing is shared or sold. Each school account is independent, so one school can never see another's teachers, timetables or rosters.
