• Account Information: School name, administrator contact name, email address, phone number, and account credentials.
• School Operational Data: Names of teaching staff, subjects taught, regular teaching timetables, and exam schedule details uploaded by your school administrator.
• Payment Information: Payment transactions are processed directly by PayFast (Pty) Ltd. Invigismart Pro™ does not store or process credit card numbers, banking details, or CVVs on our servers.

2. Purpose of Data Processing

We collect and process personal and operational data strictly for the following purposes:

• To authenticate user access and manage your annual subscription license.
• To execute the automated constraint-solving algorithm and generate exam invigilation rosters.
• To issue subscription receipts, tax invoices, and account notifications.
• To provide technical customer support.

3. Data Storage, Local Processing & Security

• Browser-Local Storage: Invigismart Pro™ utilizes modern browser-based storage technologies (localStorage and encrypted local state) to allow rapid local roster generation without unnecessary server transmission.
• Data Security: All communications between your web browser and our servers are encrypted using Industry Standard Transport Layer Security (HTTPS/TLS).
• No Unnecessary Third-Party Sharing: We do not sell, rent, or trade your school’s personal data or staff lists to advertisers or third parties.

4. Third-Party Service Providers

We share data only with trusted service providers necessary to deliver our services:

• PayFast (Pty) Ltd: Used as our merchant payment gateway for secure billing. View PayFast’s privacy policy at www.payfast.co.za.

5. Your Rights Under POPIA

In accordance with the Protection of Personal Information Act (POPIA), you and your staff have the right to:

• Access: Request a copy of the personal information we hold about your organization.
• Correction: Request the correction or updating of inaccurate personal data.
• Deletion: Request the permanent deletion of your account and school database from our active systems upon subscription termination.
